How to Automate Payment Reminders in QuickBooks Online
Turn on QuickBooks Online's built-in invoice reminders, write ones that get paid, and hand the follow-up conversation to an AI employee.
Short answer: QuickBooks Online can send automatic reminders for overdue invoices. Turn them on under Settings → Account and settings → Sales → Reminders. That covers scheduled nudges. What it doesn't cover is everything after the customer replies: answering the question, checking the payment and sending the next invoice. An AI employee connected to QuickBooks can handle that part within limits you set.
Step 1: Turn on QuickBooks' built-in reminders
- Go to Settings (gear) → Account and settings → Sales.
- In Reminders, turn on automatic invoice reminders.
- Set up to three reminders, choosing how many days before or after the due date each one sends.
- Edit the message for each one. Keep it short, include the amount, the due date and the payment link.
- Save, then send yourself a test invoice to check the wording.
Step 2: Write reminders that get paid
- Reminder 1: When: 3 days before due; Tone: Friendly heads-up; Include: Amount, due date, pay link
- Reminder 2: When: 3 days after due; Tone: Polite, direct; Include: Invoice number, pay link, "reply if there's an issue"
- Reminder 3: When: 14 days after due; Tone: Firm; Include: Late terms if you have them, a named contact
The "reply if there's an issue" line matters most, because that's when customers tell you why they haven't paid.
Where built-in reminders stop
Scheduled reminders don't read replies. When a customer answers "I paid last week", "can you resend it to accounts payable?" or "can you split this into two invoices?", someone has to open QuickBooks, look it up and respond. For many small businesses that "someone" is the owner, and it's the step that slips.
Three ways to handle follow-up
- QuickBooks' automatic reminders: Good for: Every QuickBooks Online user, start here; Limits: Doesn't handle replies or create new documents
- Dedicated AR or invoice-reminder software: Good for: Businesses with many invoices and a finance person; Limits: Another tool to manage, focused only on collections
- An AI employee connected to QuickBooks: Good for: Small teams where the owner handles customers and invoicing; Limits: Needs your policies written down, and disputed balances stay with you
How an AI employee handles it
An AI employee such as Wamino for QuickBooks works from your inbox and phone:
- Sends payment reminders for unpaid invoices, if you turn this on.
- Looks up customers, payments and invoice status when a customer replies.
- Turns new customer requests into estimates and invoices, and emails invoices through QuickBooks.
You decide what it handles on its own, and anything unusual comes to you.
